Event Assistant
Job Summary:
This role is crucial for ensuring a seamless, high-quality experience for both children's parties and adult workshops. You will manage the rapid transition between events, provide beverage service, and maintain the cleanliness and atmosphere of the event space.
Part-time roles available for workshop and event support, mostly on the weekend from 3.30 to 9 depend on the date.
Role Overview
The Event Assistant/Coffee Concierge is the operational backbone of our "Twilight Blooms" event program. This role is crucial for ensuring a seamless, high-quality experience for both children's parties and adult workshops. You will manage the rapid transition between events, provide beverage service, and maintain the cleanliness and atmosphere of the event space.
Key Responsibilities
1. Operational & Turnaround Management (Primary Focus)

Setup: Prepare the event space, including arranging tables, chairs, lighting, music, and basic linens according to the daily event schedule.

Rapid Clean-Up: Execute the 30-minute turnaround protocol meticulously between back-to-back events (e.g., clearing craft remnants, sanitizing surfaces, sweeping floors).

Inventory & Restock: Assist the Lead Instructor in organizing and verifying the pre-packaged materials kits and tracking used supplies.

Equipment Maintenance: Ensure all shared tools (scissors, water pitchers, etc.) are clean, sanitary, and correctly stored.
2. Customer Service & Hospitality

Guest Check-In: Greet all guests warmly, verify reservations, check tickets, and ensure the required legal waivers are signed by the responsible party.

Concierge Service: Act as the liaison between the event space and the coffee bar. Prepare and serve complimentary beverages (wine/espresso for adults, juice for kids) and manage the "Coffee Concierge" add-on package orders.

Snack Management: Set up, serve, and clear all included snacks and purchased add-on platters, managing basic food safety and allergy communication.
3. Support & Safety

Support the Lead Instructor during the workshop by passing out materials, assisting children/guests with simple tasks, and managing time transitions.

Maintain awareness of event safety protocols, ensuring pathways are clear and tools are used appropriately, especially during children's parties.
Qualifications

Proven experience in a customer-facing role (e.g., hospitality, food service, event support) is highly preferred.

Demonstrated ability to work efficiently and accurately under time pressure (essential for the 30-minute turnaround).

Must possess excellent interpersonal and communication skills, with a cheerful, patient, and professional demeanor.

Basic knowledge of coffee/espresso preparation is a strong asset.

Available to work consistent evening shifts, primarily Thursday through Sunday.
